This policy explains what personal data we collect through hostgear.my and our booking process, why we collect it, and the choices you have. We process personal data in accordance with the Malaysian Personal Data Protection Act 2010 (PDPA).

1. Data We Collect

When you request a quote or contact us, we collect the details you provide: your name, phone number, email address, the service you are interested in, and any description of your property you choose to share. If you become a client, we additionally record your service address, access instructions, booking history and payment records.

Our website also records limited technical data — IP address, browser type and pages visited — through standard server logs and, where you consent, analytics cookies. See our Cookie Policy for specifics.

2. How We Use Your Data

To prepare and send the quote you requested and to schedule confirmed bookings.
To coordinate crew arrival, building access and service delivery.
To issue invoices, receipts and service documentation.
To respond to complaints, re-clean requests and refund claims.
To improve our website and service offering using aggregated, non-identifying statistics.

We do not sell, rent or trade personal data. We do not send marketing messages unless you have expressly opted in, and every marketing message includes a working unsubscribe route.

3. Sharing and Disclosure

Your data is visible only to the HostGear staff who need it to serve you: the scheduling desk and your assigned crew supervisor. Crew members receive the minimum needed for the visit — name, address, access notes. We may disclose data where required by Malaysian law, court order or regulatory request.

4. Storage and Security

Data is stored on access-controlled systems hosted in Malaysia and Singapore. Access is limited by role, protected by strong authentication, and reviewed quarterly. Quote requests that do not become bookings are deleted after 12 months; client records are retained for 7 years to satisfy tax and accounting obligations, then destroyed.

5. Your Rights

Under the PDPA you may request access to the personal data we hold about you, ask us to correct inaccurate data, withdraw consent to processing, or ask us to delete data we are not legally required to keep. 6. Children

Our services and website are directed at adults. We do not knowingly collect personal data from anyone under 18.

7. Changes to This Policy

We revise this policy when our practices or the law change. The revision date at the top of this page always reflects the current version, and material changes are highlighted on this page for 30 days.
